Terms & Agreement for Participation

1. Trip Overview
Edutainment Arts Excursion: NOVA to NYC is a 3-day, 2-night immersive arts experience taking place from June 20 – June 22, 2025. The round-trip transportation,hotel accommodations (double occupancy), select meals, Broadway show tickets, and access to cultural and artistic experiences.
By purchasing a ticket, you agree to the following terms and conditions:
2. Payment & Cancellation Policy

Total Trip Cost: $1,150 per person (based on double room occupancy)

Single Room Supplement: If a single room is desired, an additional $180 per night will
-
be added.

Additional Cabaret Cost: $50 for Cabaret Experience

Additional Alvin Ailey Dance Class cost: $100
-
Payment Plan Option: A deposit of $300 is required to secure your spot. The remaining balance must be paid in full by May 31, 2025.

Accepted Payment Methods: Credit/Debit, PayPal, or ACH transfer.

Cancellations & Refunds:
-
Cancellations before April 10, 2025: 75% refund (minus processing fees).
-
Cancellations between April 21 – May 31, 2025: 50% refund.
-
Cancellations after May 31, 2025: No refund unless a replacement participant is found.

3. Travel & Accommodation
-
Departure: June 20, 2025, at 5:00 AM from Prince William County, VA
-
Return: June 22, 2025, departing NYC in the evening
-
Transportation: Charter bus with reclining seats and onboard WiFi (subject to availability)

Hotel Stay: Shared double-occupancy rooms at a 3-star or higher hotel in NYC

Room Requests: Special accommodations (single rooms, accessibility needs) must be requested by April 21, 2025 and may incur additional charges.
4. Itinerary & Participation

Participants will receive a detailed itinerary before departure.

The trip includes a structured schedule of activities, including Broadway shows, Art experiences, and optional events such as an Alvin Ailey Dance Class.

While there will be some free time, participants are expected to follow group schedules for transportation and hotel check-ins.

Any unauthorized absences from scheduled activities must be communicated to a trip coordinator.

5. Conduct & Liability

Participants are expected to conduct themselves respectfully and professionally at all times.

All participants must be 18 years of age or older or have a chaperon of legal age who is fully responsible for their well being to accompany.

Any damage to hotel rooms, buses, or event venues caused by a participant will be their financial responsibility.

Alcohol consumption is prohibited for participants under 21 years of age.

Edutainment and its organizers are not liable for personal injury, lost/stolen items, or missed activities due to personal negligence.

6. Media Release
By participating in this trip, you grant permission for Edutainment to use photos/videos of the trip for promotional and archival purposes.

7. Emergency Contact & Health Waiver

All participants must provide an emergency contact before departure.

Any medical conditions, dietary restrictions, or special needs must be disclosed on the registration form.

Participants assume all responsibility for their own health and well-being during the trip.

8. Agreement & Signature
By submitting your payment, you acknowledge that you have read, understood, and agreed to these terms.
